Contact

There will be a number of ways one will be able to contact FSP Realty. This will include email, fax, telephone, and web. While web is not technically a contact means, they might get all of the information they will need without contacting FSP Realty, or if they do contact – with most of their questions answered.

Email

The URL is fsp.homes. If I was to acquire the realty company, I will be able to afford a $400 per year domain. However, for now, we will assume fsp.homes which is the current URL. There will be a number of email addresses that would be used to contact the appropriate employee. Each employee will get an email address of name@fsp.homes. Therefore, my email will be frank-pilone@fsp.homes. This is designed to be simple, and direct. You know who you are writing. In addition, there will be aliases that will also be acquired. agent@fsp.homes will forward to the actual email of the realty agent. help@fsp.homes will forward to the maintenance person. owner@fsp.homes will forward to me. contact@fsp.homes will be its own box that all receptionists will have access too. This is in addition to their standard address. Petnmaes will not be acceptable. You would never see anything like loverteddybear82475@fsp.homes. Email passwords will be defined by the employee, and if they should leave the realty, their email address will be deleted.

All email (incoming and outgoing) will be the property of FSP Realty. If an employee wishes to have a personal correspondence with someone, they should use their personal email address, and probably should use their own personal computer. There are many free email providers, and a few of them will allow you to use an email client. Many people might be able to get a cheap personal computer for less than $500 (although not great). Since this will be your personal computer, you would be able to choose the OS you prefer, and not be stuck with MacOS. The employee can bring their own computer as long as it does not interfere with work.

Fax

There will be a dedicated fax line. The telephony service provider has a feature to capture incoming faxes, convert them into a .pdf file, and make them available. This will be ideal since there is no wasted paper on junk faxes. Also, any fax intended for a particular employee will be able to have the .pdf file forwarded to them. Only I have access to the login credentials of the provider to collect the faxes. This will be a part of my job. As with email, all incoming and outgoing faxes are property of FSP Realty.

Telephone

As with emails and faxes, telephone communications is the property of FSP Realty. The caller will know that the call is being recorded when they call. There will be 2 IVRs. One is for office hours, and the other is for after hours. I tried to make it as straight forward as possible. In both instances, 2, 4, and 5 are the same with both IVRs. 1 will ring to the receptionist, or sent to the receptionists’ voicemail. Selecting 3 will be slightly different depending on when the caller calls. As with the fax line, there will be a dedicated voice number.

When someone answers the call, they must answer in the following fashion:
“FSP Realty, name speaking. How can I help you?”
This is designed to let the caller know who they called, and whom they’re talking to. If the receptionist answered the call, then they can direct the caller to the appropriate party. Each employee will have a dedicated extension. I, the agent, and the maintenance person will all have a dedicated voicemail box where the receptionist will share their voicemail box. This will allow for efficiency, and reliability.

Some SIP clients will support a DND feature. This will be especially important for myself, and. the realty agent. This is because the caller will always be able to select the realty agent in the event that they are trying to contact the agent after the office hours expire.

Web

Through the web, there will be a domain exclusively for the realty company. There will be no social media as these platforms are very limiting in what they can do when promoting the units. I will hire a professional photographer to take pictures of all of the available units, and those pictures will become the property of FSP Realty. I will also have a videographer take a walkthrough video of each unit. There will be many units that would look the same. In which case, there will only need to be one per floor plan. Each location will have its own sub-domain which will be based on the ZIP+4 postal code. In example, an address might look like https://15203-1705.fsp.homes. By using this method, I will guarantee that each location will have its own website without it disclosing the address which will likely be longer than this system.
