There are 2 types of receptionists. There is an office receptionist who will work in the office including addressing email?s. The telephone receptionists will be required to handle incoming calls. I will address the faxes since it is all an eFax system. The office receptionists will be required to work from 7:30AM – 4:30PM giving them 8 + 1 hours. The +1 is for a lunch break which half of the office receptionists will take their lunch from 11:30 – 12:30. The other half will take lunch form 1PM – 2PM. Telephone receptionist will be required to send all application requests by email. This will allow me to print the labels out, and place them on application envelopes so they can be received as quickly as possible.

Email

During normal business hours, the writer can write to contact@fsp.homes to reach the office receptionist. They will answer the email, and provide all of the appropriate information. Writing to help@fsp.homes will go to the maintenance staff to where they will reach out to you for a date, or if they need additional information. Writing to tower@fsp.homes will send an email to the tower’s management. The manager will reply to the writer with any results, or actions that need to be done. Writing to owner@fsp.homes will send the email to me. If the tenant is not getting any positive results done, then they can address it to me. Until I can find a manager, I will be tending to emails for the tower. Each employee will also have their own unique address at firstlast@fsp.homes.

Fax

There will be an acquisition of a telephony server with the plugins that I will need. I will consult telephony professionals about the system in place. All of the telephone numbers will listen for a fax tone for 2 seconds, and if there is a tone, it will collect the fax, convert it into a .pdf file, and email it to the appropriate email address. The addresses are as follows:

  • 8462/412/724 number: docs@fsp.homes
  • 8472 Number: tower@fsp.homes
  • 878 Number: frank-pilone@fsp.homes

When sending a fax, the person sending the fax will use their work email address. The TO: will be ITU-Telephone-Number@fsp.homes. The Subject will be the subject on the cover page. The body of the email will be the body of the fax. The author will then include the .pdf file that is to be sent. The telephony server will look at the TO: to know what telephone number to send to. It will create the cover sheet, and attached the .pdf for sending the fax. The server will then make the fax call and show the CID as the appropriate number the from is based on the email address. By using eFax, it will save on the paper that needs to be printed, and work for scanning the papers back into digital files. The goal is to have a completely digital business. For this system to work, I will need a hosting company that would support catch-all addresses. I do know of one, but with that said, I will likely have a different eFax server (such as ITU-telephone-nnumber@fspsample.com). The address really doesn’t matter since it is not disclosed. Any emails with letters in the email address of TO: will be deleted. This includes fax-18553294377@fspsample.com Only numbers of a certain minimum length will be accepted.

Telephone

There will be multiple telephone numbers. The realty company will have 3 telephone numbers, but this will be sufficient for the contacts of receptionists, and the like. Calls to the 8462 which is the public foyer number ideal for tenants to know that the public foyer is ringing their phone. When calling the 8462 number, you would go straight to the receptionist voicemail. They will not be able to identify who rung they intercom to phone system. Calling the 8472 number will ring the Tower’s apartment manager. This is important to discern as there might come a time where I won’t be the apartment manager for the Tower. When I get new buildings constructed, I will be adding new telephone numbers.

Calling the 412 or 724 numbers will ring the telephone receptionists. When they answer your call, they will be able to direct you to the appropriate party. For example, if they have m mantenance issue, they the receptionist will direct them to the maintenance manager who can address the maintenance issue you might have. Considering that the Tower will be a brand new building, it will be hard to come across any issue of the Tower.

Calling the 878 number will go straight to my voicemail box.You will not ring my phone, but instead, you would get voicemail. This is to reduce the issue of a tenant calling the owner expecting they will get another result if they spoke with me directly. I will address the voicemails as I see fit. There might be some instances where I will write an email address they have on file.

Every building that will be required will receive their own subdomain?. For example, the Tower will receive https://tower.fsp.homes. Visiting this website will disclose so much more information that what is on there now. Such information will include actual bus routes, and any other legitimate resources that can’t be disclosed now since this is a fictional location as well as a fictional company.
